Suppliers

Overview

 

One of the major features of QAntrol is the management of Major Suppliers.  A Major Supplier is defined as a Company supplying construction materials or services that are periodically required throughout the life of the project.  Major Suppliers are typically companies associated with the supply of materials including Concrete, Reinforcement, Quarry and Pre-cast products and those associated with Material Conformance Testing.    
 

Major Supplier Subcontracts are generally high value and procured on a Schedule of Rates basis with the materials or goods supplied as and when required to allow their incorporation into the permanent works.  Major Supplier Subcontracts require clear procedures and responsibilities to manage ordering of deliveries, receipt of delivery dockets and invoicing along with the associated tasks of defining traceability of supplied materials in the permanent works, compliance through material conformance testing, cost code allocation and monthly quantity and cost reporting.
 

The “Suppliers” section allows entry of a Schedule of Materials or Services for each Major Supplier.  The Schedule of Materials or Services generally mirrors the Schedule of Rates included in the Supplier Subcontract.  The REGISTER and DASHBOARD sections of QAntrol use the entered Supplier information to maintain and statistically report on the Concrete, Reinforcement, Quarry, Pre-Cast, Testing and Survey Registers.

Subcontractors: The “Subcontract” sub-menu allows the entry of Major Supplier information including identification of supplied items, tender quantities, rates, default cost codes and the allocation of Material Categories.  The “Subcontract” sub-menu also reports for each Supplier the quantity and cost to date for against the supply items based on entries in the linked REGISTERS.
 

Material Categories:  The “Material Categories” sub-menu allows the entry and definition of “Material Categories”.  “Material Categories” allow the grouping and reporting of like supply items for a Major Subcontractor.
 
An example where Material Categories maybe used is in the Reinforcement Register.  Reinforcement supply generally consists of a few very high value supply items (e.g. processed bar, mesh etc) and a large range of comparatively low value reinforcement consumable (e.g. tie wire, spacers etc.) often reported across multiple cost codes.  Tracking these supply items using a Corporate cost system (e.g. Jobpac, Cheops, JDEdwards) often involves large amounts of data entry.
 
Material Categories in conjunction with Delivery Instructions may be used to streamline and integrate the Supplier Management process.  Delivery Instructions may be used to record in detail all supply items, which are then reported at a Material Category level for simplified entry into the Corporate Cost System.
