Adding / Editing RFIs

Open the RFI Editor (either click Add or Edit on the RFI Register screen)

 

The RFI Editor has four tabs: Test Request Details, ITP Information, Test / Reporting, Documents.

 

Details

The Details tab has five main sections: Details, Contacts, Key Dates, Responsibility and Links Summary

 

Details Entry

These fields are completed at the time the RFI is created

The RFI Number is automatically generated and cannot be manually changed.

This is the RFI Number that is automatically generated by QAntrol. This is a sequential number that is validated at the server at the time of saving the record. Because of this the number that is first shown in the Editor when adding a new RFI may be changed at the time of saving the record. This should not present a problem as you cannot print or email the RFI until it is saved.

Title

YES

The summary (title) of the RFI

Discipline


The Discipline associated with the RFI

Schedule


The Schedule that is associated with the RFI

Package


The Package that is associated with the RFI

Control String


The Control String that is associated with the RFI

Ch.Start


The Starting Chainage value along the selected string that represents the area associated with the RFI

Ch.End


The Ending Chainage value along the selected string that represents the area associated with the RFI

Linked Ref.


A reference to any arbitrary information required for the RFI

 

 

Contacts Entry

These fields are completed at the time the RFI is created.

Key Dates Entry

The last date time a response was received for the RFI

Final Report Uploaded


Whether or not the final report for the RFI has been uploaded and linked to this record. It should be accessible via the Documents tab of the RFI Editor.

Days Outstanding (read-only)


The days the RFI has been outstanding - if it is in the outstanding status, otherwise the Days Outstanding will not be displayed.

 

 

Responsibility Entry

These fields are completed at the time the RFI is created.

Issue

The Issue tab has five main sections: Question, Reason, Impacts, Attachments and Review.

 

Question, Reason, Impacts Entry

These fields identify the actual Request for Information.

This is the actual question being asked, it forms the main part of the RFI

Reason


This is an optional entry to identify specific reasoning behind the need for the RFI

Impacts


This is an optional entry to identify the impact this RFI may have on the Project.

 

 

Attachments Entry

The attachments section allows you to attach any supporting / required documents or drawings to the RFI. These attachments can be either selected from the document manager (ie. they have already been uploaded to QAntrol) or they can be selected from files on your Hard Drive or Network and be uploaded to QAntrol in the same step as attaching them to the RFI.

 

The attachments will be sent along with the RFI when emailing it to the specified Company and Contact.

 

To Add an attachment click on the Add Button then select either:

Drawing (selected from QAntrol Drawings)

Document - Existing Document (selected from QAntrol Documents)

Document - New Document (selected from your Computer / Network)

 

To Remove an attachment select the attachment in the List and click Remove.

 

Review Entry

These fields control the RFI's review process and can be secured with the Security Manager. They also can provide a basic work-flow in conjunction with Project Settings around the RFI review. Please refer to How to control the RFI Review Process.

The Date that the Review 1 was performed.

Review 2 By


The Person that has performed the second Review of the RFI before it has been sent

Review Date (Review 2)


The Date that the Review 2 was performed

 


 

Answer / Action

The Answer / Action tab has two main sections: Answer and Contractor Action

 

Answer Entry

This field allows you to enter any responses from the Company answering the RFI.

If there are multiple responses you can simply keep adding to this field using Dates and times for each section of text added.

 

Contractor Action Entry

These fields identify the consequences of the outcome of the RFI.

Impacts Cost


Whether or not the RFI will affect the final cost of the Project

Estimate


The Cost estimate associated with the RFI's impact

Comments


Any comments about the Cost impact of the RFI.

Linked PVO


The Variation that may have been created as an outcome of the resolution of the RFI. This field will allow you to select an existing Variation, so you must first create the Variation before it can be selected in the RFI Editor.

Impacts Time


Whether or not the RFI will affect the final delivery date of the Project

Estimate


The Time estimate, in days, associated with the RFI's impact

Comments


Any comments about the Time impact of the RFI

 


 

Comments

This tab has just one big Comments text field for you to record any and all comments about the RFI and any correspondence related to it.

 


 

Documents

You can link documents to the RFI record in the same fashion as all QAntrol Records.
