How to control the RFI Review Process

Before an RFI is sent (Emailed) it will normally under-go a review process within the Project Team. This process maybe something like:

 

Site Engineer creates an RFI (please refer to Adding / Editing RFIs)

Quality Manager reviews the RFI and requests any changes

Project Manager reviews the RFI and gives authorisation to issue to External party responsible.

After receiving an acceptable response the RFI is closed.

 

This process can be managed in a basic form using the following steps:

 

Turn on RFI Review Requirements in Project Configuration

 

Open the Project Configuration editor: Configuration Menu » Project Configuration

In the first Tab, Reporting Details, there is a section labeled Emailing Records, this is the section we need to modify.

 

By ticking RFI Email Requires Review 1 you are telling QAntrol that the RFI record cannot be emailed unless it has the Review 1 fields filled out.

By ticking RFI Email Requires Review 2 you are telling QAntrol that the RFI record cannot be emailed unless it has the Review 2 fields filled out.

 

If you have both ticked that means that the RFI record will not be allowed to be emailed unless both Review 1 and 2 fields are filled out.

 

Securing the Review and Closed Fields to Authorised Users

 

Simply saying that the RFI cannot be emailed unless the Review fields are filled out is not enough to enable a useful work-flow as any user could fill out these fields and email the RFI without authorisation. Also unless restricted any user will be able to Close an RFI even if an acceptable answer has not yet been received. To stop this from happening, QAntrol has security operations that you can add and remove from specific User Roles to restrict access to these fields.

 

The operations you need to Add to the Authorised Users Role and Remove from the Unauthorised Users Role are:
